Refund Policy

1. Overview
At XpediaLab, client satisfaction is our top priority. This Refund Policy outlines the conditions under which refunds may be issued for our web development, app development, AI engineering, cloud architecture, and related digital services.
2. Advance Payment
- All projects require a minimum advance of 30% of the total project cost before work begins.
- The advance payment is non-refundable once the project has been initiated and work has commenced.
- If XpediaLab has not started work on the project, a full refund of the advance may be issued upon written request within 48 hours of payment.
3. Milestone-Based Payments
For milestone-based projects:
- Payments for completed and approved milestones are non-refundable.
- If a milestone is not approved, XpediaLab will provide up to two (2) rounds of revisions within the original scope at no additional cost.
- If the deliverable still does not meet the agreed specifications after revisions, a partial refund for the specific milestone may be considered on a case-by-case basis.
4. Project Cancellation by Client
If the client chooses to cancel the project after work has begun:
- Before 25% completion: Client will be charged for actual work completed plus a 10% administrative fee. Any remaining balance will be refunded.
- Between 25%–50% completion: Client will be charged for all work completed. No refund on the advance payment.
- After 50% completion: Full project cost is payable. No refunds will be issued.
Cancellation must be communicated in writing via email to hello@xpedialab.com.
5. Project Cancellation by XpediaLab
In the unlikely event that XpediaLab is unable to fulfil a project due to unforeseen circumstances:
- A full refund of all payments made (including the advance) will be issued within 14 business days.
- All completed work and deliverables up to the cancellation point will be shared with the client.
6. Digital Products & Templates
For digital products sold through our website (templates, UI kits, source code, API subscriptions):
- Due to the nature of digital goods, all sales are final and non-refundable once the product has been downloaded or access has been granted.
- If a product is found to be defective or significantly different from its description, you may request a refund within 7 days of purchase with proof of the issue.
- Refund requests for digital products must be submitted to hello@xpedialab.com with your order number and a detailed description of the issue.
7. Subscription Services
For recurring subscription services (API endpoints, hosting, maintenance contracts):
- Subscriptions may be cancelled at any time with 30 days' written notice.
- No refunds will be issued for the current billing period after cancellation.
- Service will continue until the end of the paid billing period.
8. Refund Processing
- Approved refunds will be processed within 10–14 business days.
- Refunds will be credited to the original payment method used.
- International wire transfer fees or currency conversion charges are borne by the client.
9. Dispute Resolution
If you are dissatisfied with any aspect of our services, we encourage you to contact us first to resolve the matter amicably. We are committed to finding a fair resolution. If a mutual agreement cannot be reached, disputes will be handled through binding arbitration as outlined in our Terms & Conditions.
